2009 Summer Work Schedule

We are pleased to announce that President Cregan and Division Heads have approved a modified summer work schedule. Beginning the week of May 18, 2009 the work-schedule for "non-essential" full-time employees will be 7-hours/day Monday through Thursday (with a 60-minute meal break/day) and 6 hours on Friday (with a 30-minute meal break). The College will close for all "non-essential" personnel at 3:00 p.m. This early release program will continue until the week of June 29, 2009. Starting the week of the 29th, employees will have the opportunity to choose between 2 summer schedule options.

Option I:

Employees continue to work 7 hours, 8:30 to 4:30 pm, Monday - Thursday, with a 60-minute lunch break.

Employees work 6 hours on Friday, with a 30-minute lunch break and are released at 3pm.

Under Option I:

  • An employee who takes a vacation/personal/sick day on a Friday is charged 7 hours of benefit time (pro-rated for part-time employees).
  • Vacation time accrues at the full time rate (pro-rated for part-time employees).

Option II:

Employees work 8.5 hours per day for four days with a 30-minute lunch break

Employees receive a full-day off either Monday or Friday.

Under Option II:

  • The Department Director determines the work hours for an employee's four-day schedule. The following are schedule options that may be used, however, the Division Head will make the final determination as to appropriateness of start and end times based on the needs of the Division, taking the core business hours (8:30 a.m. to 4:30 p.m.) into consideration.
    7:30am to 4:30pm (with a 30 minute lunch)
    8:00am to 5:00pm (with a 30 minute lunch)
    8:30am to 5:30pm (with a 30 minute lunch)
    9:00am to 6:00pm (with a 30 minute lunch)

The specifics of the program are outlined below:

  • Employees who "back up" for one another may not take the same day off.
  • Part-time employees who are regularly scheduled to work 5-days/week may also take advantage of this benefit. Department Heads are encouraged to work with the Human Resources Office to determine shifts.
  • An employee who calls in sick or who takes a vacation day during his/her scheduled 4-day week will be charged 8.75 hours for full-time (pro-rated for part time) or may chose to work his/her scheduled day off that week, if possible and approved by the Department Head. An employee who chooses to use his/her personal time will be charged 7 hours for full-time (pro-rated for part-time) and should make up the additional 1.75 hours with vacation time or take it unpaid.

The Summer Work Schedule will allow each Department to create a flexible work schedule. The following guidelines apply to both Option I and Option II:

  • All offices remain open during core business hours for the summer or arrange for adequate coverage for their office during the core hours.
  • The core business hours for the summer are 8:30 am to 4:30 pm, Monday through Thursday, and 8:30 am to 3:00 pm, on Friday.
  • Department's must have coverage for all 5-days/week. Coverage for smaller departments can be achieved by arranging for reciprocal phone coverage with other offices. Please contact the Human Resources Department if you need assistance with coordinating phone coverage.
  • All schedules must be approved by the appropriate Division Head.
  • Based on the operational needs of a department, a Division Head may determine that a department cannot participate in the program (this determination can be for the entire summer or a portion of the summer).
  • Based upon the operational needs of a department, schedules are subject to change.
  • An employee is not required to choose Option I or Option II, an employee may choose to continue on the normal 5-day work schedule (Consistent with College policy, the College reserves the right to modify work schedules based on the needs of the College).
  • 35 hours of vacation time are applied to an employee who takes a week of vacation. For the week which includes Independence Day, the College will run on a normal 8:30 am to 4:30 pm schedule, Monday through Thursday, and the College will be closed on Friday, July 3rd in observance of Independence Day. Division Heads may establish a different schedule for the week containing Independence Day if necessary or convenient for their division. Please not that Independence Day fall on the first official week of the summer program.
  • Departments are not allowed to modify either Option - this is to say employees who chose Option II must take either Monday or Friday, not another day during the workweek.
  • This program will continue through and including the week of August 10, 2009.
