Employee Changes
Payroll Cycles
Due Dates
All new employees must be hired through the Human Resources Department. Once the appropriate Human Resource forms are complete, an Action Form is completed and submitted to the Payroll Office. No employee will be paid without a signed Action Form by Human Resources.
It is important that all new employees visit the Payroll Office once hired to complete the Federal and State tax Forms as well as the Direct Deposit Form. In addition, Faculty may choose to complete the 12 month salary Option Plan form (which allows salary to be paid over the entire fiscal year instead of the academic year).
All changes to an employee’s position, salary, or status must be initiated in the Human Resources Department.
Once Human Resources has approved a request for change, an action form will be sent to the Payroll Office. No changes will be made to an employee payroll record until the Action form is completed and submitted by Human Resources.
All employees are paid on a bi-weekly pay cycle. See the Payroll Schedule page for a full description of the pay cycles.
All requests for changes to payroll must reach the payroll office by Friday of the week preceding the payroll date unless otherwise specified (i.e. if the payroll date is July 13th, changes must reach the payroll office by Friday, July 6th). Note: Due dates for holidays will be announced by a community wide email.
See the annual fiscal year end memo for due dates related to year-end changes.
Timecards for payroll must be in the payroll office by Monday at 12:00. All employees that submit timecards after this time will be paid at a base rate. Other adjustments (i.e. overtime) will be paid in the following pay period.
Express checks will not be processed except for employee terminations.
Stipends must be signed by the appropriate department head and/or division head and sent in memo form to the Payroll Office.
Stipends are issued in the next closest payroll period after the date of receipt.
Direct Deposits take 2 pay periods to be in effect for the semi-monthly payroll and 3 pay periods for the weekly payroll.
Direct Deposit is the preferred method of payment for all employees.
