Damage Billing
Damage billing at Stonehill College occurs twice a year, at the end of each semester. The damage billing process attempts to record all damages and losses which occur within and around the residence halls and other campus buildings, and seeks the appropriate reimbursement from the responsible party or parties.
Damage Billing Philosophy
Although some colleges and universities incorporate projected damage costs into tuition/fees, it is the philosophy of Stonehill College to bill students only when damage occurs.
Room Condition Forms
The Room Condition Form (RCF) is the main vehicle for assessing the condition of all rooms and their furnishings. Each student will have an RCF completed for them before moving in. These forms should be checked and signed by the student to insure that the present condition of their room and its furnishings is accurately reported on the form. Any inaccuracies or discrepancies should be brought to the attention of the Residence Life staff at move in time, so that the changes can be verified and the form corrected.
Semester Damage Assessments
Residence Life receives regular damage updates from the Department of Facilities Management. After being reviewed by Residence Life, the accompanying charges are made public to students living in each area or building. Students who admit responsibility (or are found responsible) for causing damage will have the final total added to their student account at the end of the semester. When the individual(s) responsible for causing damage cannot be determined, the charges will be assessed to the wing, suite, townhouse, or building, depending on location.
Damage Statements
When reading your damage statement, you will notice that damage costs are broken down into three main categories: General Damage, Zone Damage and Individual Damage. 
General Damages are calculated by adding together the student's share of the general damages that occur in public areas across campus and the student's share of damages that occur in common areas of their residence hall. A current listing of campus-wide damages may be found here.
Zone Damages represent the student's share of damage that occurs on their floor, wing, suite or townhouse.
Individual Damages represent damage found in a student's room after checking out. Students may elect to take responsibility for damages in their room by completing a Damage Responsibility Form before checking out. Damage Responsibility Forms may be obtained from a Residence Director or Area Coordinator.
Additional Charges
Some damage statements may include additional charges. The four most common are Propped Door Violations, Lost Key Charges, Alcohol Clean-up Charges and Improper Checkout Fees.
Propped Door Violations - In order to discourage the propping open of external entrance doors, it is the policy of the College to bill students each time an external door to a residence hall is propped open. Students living in a particular hall are billed 50 cents each for the first 5 propped doors that are documented, $1.00 for each the next 5 propped doors, and then $2.00 for each every propped door after that.
Lost Key Charges - If a student fails to return their keys to an RA immediately after checking out of their room, they will be billed $25 for a lock change plus $10 for each key that needs to be replaced.
Alcohol Clean-up Charges - Students living in our underclass residence halls share a responsibility to keep alcohol from entering these "under 21" living areas. In support of this, Stonehill College bills students living in these halls $40 each time alcohol containers are found and need to be removed by our custodial staff.
Improper Checkout Fees - Students who do not follow posted checkout procedures will receive a $50 improper checkout fee. In order to check out properly, a student must do three things: 1) complete a checkout with an RA, 2) sign their RCF, and 3) return their keys at the time of their checkout.
