Map a Drive for Targeted Announcement Files

Targeted Announcements are a great way to have your message reach entire groups on campus. If your message needs to include an image, or if you have a document that needs to be “attached,” please follow the steps below to map the web fileshare. Once you have done that, you will be able to follow the steps for uploading a document and creating a hyperlink within a Targeted Announcement and uploading an image and pasting it into a Targeted Announcement.

These documents and images will be deleted automatically after 30 days. If the file is no longer in the folder, the hyperlink will not work and the image will not display. Every user who sends Targeted Announcements will have access to this web fileshare, so please do not delete any files uploaded by other users.

Please note that you will need the proper permissions to send a Targeted Announcement before proceeding.

Map the Web Fileshare in Windows 7

In order to include an image or a document in a Targeted Announcement, the image or document must first be uploaded to our web fileshare. Follow the steps below for mapping the web fileshare.

  1. Click on the Start button and then right-click on “Computer” from the Start Menu and choose “Map network drive…” from the list.
  2. The "Map Network Drive" window will appear. Click on the "Drive" drop down menu and select "W:" from the list.
  3. Type \\web\announcements\ into the Folder field.
    1. Make sure the "Reconnect at logon" box is checked off and then select the Finish button.
    2. You will only need to map this network drive once. It will always be accessible as your "W:" drive.
  4. A new Explorer window will open, displaying the contents of the web fileshare.
    1. The drive letter that was selected will be shown to the right of the announcements web fileshare as it is listed underneath the "Computer" heading on the left-hand side of the explorer window.
  5. The contents at the root of the web fileshare are the “Documents” folder and an “Images” folder which will be used to house the documents and/or images you would like to include in your Targeted Announcement.

Map the Web Fileshare in Mac OS X

In order to include an image or a document in a Targeted Announcement, the image or document must first be uploaded to our web fileshare. Follow the steps below for mapping the web fileshare.

  1. Click on the Go menu and choose “Connect to Server…
  2. The “Connect to Server” window will appear.
  3. Type smb://web/announcements/ into the “Server Address” field and then select the Connect button.
    1. NOTE: You can click on the + button to add this server address to the “Favorite Servers” list for future access.
  4. Enter your Stonehill username and password into the login window that appears and select the Connect button.
  5. A new Finder window will open, displaying the contents of the web fileshare.
  6. The contents at the root of the web fileshare are the “Documents” folder and an “Images” folder which will be used to house the documents or images you would like to include in your Targeted Announcement.

Once you have successfully mapped the web fileshare, you are ready to upload a document and creating a hyperlink within a Targeted Announcement and/or upload an image and paste it into a Targeted Announcement.
